Executive Assistant (1 year contract; Hybrid; m/f/x/d; 80-100%)

Please note this role is offered as 1-year temporary contract, with preferred start date of 1st December 2025.
About the Role
As an Executive Assistant, you'll function as the critical support system for the Head of the MU UK&I & MEA in London, managing complex schedules, communications, and administrative functions with precision and foresight. This role reports to the EMEA Assistant Team Lead and is part of the EMEA DOO and Assistant team.
Key Responsibilities
· Provide advanced administrative support, including professional minute-taking for Leadership Team meetings
· Manage calendar effectively, serving as the "gatekeeper" of scheduling and meeting availability
· Prioritise competing demands and follow through on tasks to successful completion
· Handle email communication proactively, including monitoring, flagging, and processing important messages
· Coordinate travel arrangements in accordance with company policy, including comprehensive itinerary preparation
· Organise meetings and events both internally and externally, managing all logistics and arrangements
· Build and maintain relationships with assistants of key stakeholders and external partners
· Support the executive team by keeping them informed of upcoming commitments and responsibilities

We are looking for candidates who meet these requirements:
· Substantial proven experience as an executive or administrative assistant
· Exceptional organizational skills with meticulous attention to detail
· Outstanding written and verbal English communication abilities
· Proficiency in Microsoft Office suite (Outlook, Teams, Word, PowerPoint)
· Ability to be present in the office a minimum of 3 days per week
· Demonstrated ability to handle confidential information with discretion
· Event planning and coordination experience
· Experience with SharePoint and internal web-based applications like MySpend
· Experience supporting executives in a global, multicultural environment
