About the Role
As an Internal Services Assistant, you'll be at the intersection of facility management, technical support, and customer service. You'll ensure our workspace runs smoothly while gaining valuable insights into building operations, property management, and long-term maintenance planning across different locations.
Key Responsibilities
- Manage and support the internal ticketing tool for facility requests
- Provide technical conference support and meeting room set-up
- Perform general maintenance/repairs and oversee contractor requirements
- Coordinate with vendors for infrastructure servicing requirements
- Maintain the Access Control system and compile monthly reports
- Ensure compliance by keeping all permits, licenses, and inspections current and properly documented
- Coordinate courier requirements for local, import, and export items
- Maintain and update CRES vendor agreements and service level agreements
- Support with Safety & Security related tasks
- Perform Health & Safety building checks
- Process invoices for payment
This role requires an on-site presence at our Milan office four days per week.
About the Team
You'll work closely with a high-performing local CRES team while being connected to a broader global CRES community. The team is responsible for ensuring all corporate real estate and services activities are coordinated effectively and meet high standards. Your role will be integral in supporting the team's mission to create and maintain an optimal working environment.
About You
You're a hands-on problem solver with excellent attention to detail and a customer-first mindset. You thrive in a dynamic environment where no two days are the same, and you're comfortable balancing administrative tasks with physical, technical work. Your strong communication skills allow you to work effectively with both internal stakeholders and external vendors.
We are looking for candidates who meet these requirements:
- Fluent in English (official company language)
- Qualification in Facility/Building Management, Workspace/Design Management, Operations Management, or related field
- Excellent skill with MS Office tools
- Strong administrative and problem-solving skills with great attention to detail
- Excellent interpersonal and communication skills with a strong customer focus
These are additional nice to have:
- Knowledge of health and safety regulations and compliance requirements
- Experience in vendor management and contract administration
- Minimum 2 years' experience or completed previous internship in technology, administration, operations, building management, or vendor management
- Good predisposition to new technology including AI
- Scientific and technological degrees
For Italy, the base salary range for this position is between EUR 31,000 and EUR 51,000 (for a full-time role). The specific salary offered considers:
• the requirements, scope, complexity and responsibilities of the role,
• the applicant's own profile including education/qualifications, expertise, specialisation, skills and experience.
